What we do with your information.

1. The short version
We collect very little, we do not track you, and we do not sell anything to anyone.
This site has no analytics, no advertising pixels and no tag manager, and it sets no cookies of its own. There is nothing here counting you. If you fill in the form or book a call, we get what you typed and nothing else.
The rest of this page is the detail, including what happens when we build something for you, which is where most of the real answers are.
2. Who we are
Fabricaite Limited, a company registered in England and Wales, company number 17392556, registered office West Court Park Lane, Allerton Bywater, Castleford, England, WF10 2FY.
For data protection purposes, Fabricaite Limited is the controller of the information described in section 4. You can reach us at sam@fabricaite.ai or by post at the address above.
We are two people, Sam and Richard. Whichever of us you speak to is the one handling your information.
3. What this policy covers
This policy covers this website and the information we hold about people who contact us, book a call with us, or become clients.
It does not cover the data inside a tool we build for you. When one of our tools reads your Xero, your inbox or your social accounts, you decide what it does and we act on your instructions. That relationship is set out in your contract with us and summarised in section 8 below.
4. What we collect, and why
When you fill in the contact form. Your name, your email address and whatever you write in the message. We use it to reply to you. Our lawful basis is legitimate interests: you have asked us a question and we have an interest in answering it.
When you book a call. Your name, your email address and the time you picked. We use it to turn up. Same lawful basis.
When you email us. Whatever is in the email. It sits in our inbox like any other correspondence.
When we record a meeting. If you agree to it, we record the meeting and have it transcribed, so that what we quote for is what you actually asked for rather than what we remembered afterwards. We ask before anything starts recording, and you can say no. Saying no changes nothing except that we take notes instead. Our lawful basis here is your consent, and you can withdraw it at any time by telling us, in which case we delete the recording.
If you become a client. Your contact details, the quote, the contract, correspondence and the invoices. We need these to do the work and to keep proper accounts.
What we do not collect. We do not build marketing lists, we do not add you to a newsletter you did not ask for, we do not profile you, and there is no automated decision-making anywhere in this. We have never sold data to anyone and we are not going to start.
5. The one thing we load from elsewhere
Our booking page uses an embedded booking tool from Cal.com. When that page loads, your browser contacts Cal.com directly, which means Cal.com can see your IP address and may set its own cookies. That is the only third party this website loads, and it only happens on the booking page.
Cal.com has its own privacy policy covering what it does with that.
6. Who else handles your information
We keep this list short on purpose, and we will keep it accurate.
- Vercel hosts this website.
- Resend delivers the contact form to our inbox.
- Cal.com runs the booking.
- Plaud records and transcribes meetings, when you have agreed to it. Plaud does not transcribe on the device: the audio is uploaded and passed to OpenAI, Google or Microsoft to be turned into text and summarised. Plaud's terms with all three require them to keep nothing after they have answered and to use none of it for training.
- Google Workspace carries our email.
Some of these are based outside the UK, which means your information may be processed outside the UK. Where that happens we only use providers who are covered by UK-approved safeguards for international transfers.
7. How long we keep it
- An enquiry that does not go anywhere: we clear these out after two years.
- A meeting recording and its transcript: deleted once the build it relates to is finished. If the quote never turns into a build, deleted once you have told us no, or once it is clear the answer is no.
- Client records, contracts and invoices: six years after the end of the relationship, because HMRC requires us to keep accounting records that long.
- Email correspondence: as long as it is useful, and then we clear it out.
8. When we build something for you
This is the part most privacy policies do not have to cover, so it is worth setting out plainly.
A tool we build for you works with your data. While you are on a monthly plan it runs on hosting accounts we hold, which is what that plan pays for, so the suppliers who store and process that data are ours rather than yours. They are named in the schedule to your contract, and that list includes the AI provider the tool uses.
For that data, you are the controller and we are your processor, which means we only act on your instructions. What we can and cannot do with it is written into your contract, along with our obligations on confidentiality, security, deletion and helping you if one of your own customers asks what you hold on them.
Three things are worth knowing up front. You grant the access yourself, from your own accounts, and you can withdraw it at any time without asking us. Nothing we build publishes, sends or replies on its own; a person approves anything that leaves your building. And when we stop working together, we delete what we hold or hand it back, whichever you ask for.
9. Your rights
You can ask us to show you what we hold about you, correct it if it is wrong, delete it, restrict what we do with it, object to us holding it, or send it to you in a portable format. Where we rely on your consent, such as a meeting recording, you can withdraw that consent at any time.

10. Complaints
If you think we have got this wrong, tell us first and we will try to sort it.
If you would rather go to the regulator, or you are not happy with our answer, you can complain to the Information Commissioner's Office. They are at Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, on 0303 123 1113, and at ico.org.uk. Complaining to them costs nothing and you do not need to come to us first.
11. Changes
If we change this policy we will change the date at the top. If we ever change it in a way that materially affects a current client, we will tell that client directly rather than relying on them noticing.
