The six tools

Example build · 03

The quote out today, not on Friday.

A quote builder turns the notes you took on site into a properly worded, branded quote, and puts it into Xero without anyone re-typing it. You fill in a short form, it writes the line items in your usual wording, applies your prices, and produces the PDF. Every figure comes from a price list you control.

The job usually goes to whoever quotes first.

You measure up on Tuesday, promise a quote by end of week, and then have to sit down with a laptop after tea and turn a page of notes into something that looks professional. So it goes out Friday. By then they have had two others and one of them arrived Wednesday.

And when it does go out, someone has to type the same figures into Xero again, which is where the mistakes come from.

Notes in, branded quote out, straight into Xero.

  1. A short form

Filled in on a phone, on site, while you are still standing there. Not a desk job.

  2. Writes the line items

Turns "replace 3 emergency lights 2nd floor, test after" into wording a customer can read and compare.

  3. Applies your prices

From a price list you maintain. It never decides what something costs.

  4. Produces the PDF

Your logo, your layout, your terms. It looks like it took an hour.

  5. Puts it into Xero

As a draft quote, ready to convert to an invoice when they say yes. Nobody re-types anything.

Two jobs, and it never touches the money.

The AI writes and checks. It has no part in what anything costs.

  • AI

It turns notes into line items

Site shorthand becomes a description a customer understands, in the wording you normally use.

  • AI

    It catches what you forgot

Flags things usually included with that kind of job. It suggests; it does not add.

  • You

    You set every price

Figures come from your price list. The AI never produces a number, which means it can never get one wrong.

The part that matters

It cannot invent a price.

Software that guesses at what you charge is worse than no software. Every figure on the quote comes from a list you wrote.

  • Prices come from your list

Update the list, every future quote follows. The AI reads it and applies it; it never estimates.

  • Nothing sends itself

It produces the quote. You look at it and you send it, which is the last chance to change a number, and it stays yours.

  • It goes to Xero as a draft

Nothing appears in your accounts as final until you convert it. Wrong quote, delete the draft.

  • Your document, not ours

Your logo, your layout, your terms. Nothing on it says who built the software.

  • Xero

Common questions

What people ask before they say yes.

  • Can I edit the quote before it goes?

Always. It produces a draft, never a sent quote. Change the wording, change a figure, delete a line. Sending is a decision you make.

  • What if my pricing is complicated?

Most trade pricing is more structured than it feels: a rate, a materials cost, a call-out, and some rules about when each applies. If yours genuinely does not fit that, tell us on the call and we will say whether it is worth doing.

  • Does it work on a phone?

That is the point of it. The form is built to be filled in standing on a site, not at a desk in the evening.

  • What about the terms and conditions on my quotes?

Your existing ones, on every quote, unchanged. We are not writing your terms.

  • Can it do invoices too?

The quote becomes an invoice in Xero when the customer accepts, which is Xero's own feature rather than something we add. Chasing that invoice is a different tool on this list.

  • What if I want a different layout?

It is your document. Layout, logo and wording are set up once, at the start, to match what you already send.
